How rules & tags work

Every transaction that arrives β€” pasted, uploaded, typed in, or brought in by the daily bank import β€” is filed automatically. The app checks the description against the lists below in this order, and the first match wins:

  1. Priority tags β€” your personal overrides. If a tag's keyword appears anywhere in the description (capitalization doesn't matter), the tag sets the category and the type exactly as you chose. Tags outrank everything, including the built-in handling β€” that's how a memo like "GIFT-SUPPORT" on a Zelle payment can be filed your way instead of as a plain Zelle transfer.
  2. Built-in handling β€” Zelle payments file as Zelle / Transfer; Cash App payments as P2P Payments; ATM withdrawals and bare check numbers ("Check 2701") as Miscellaneous. These aren't rules and can't be edited β€” a priority tag is the way to override one.
  3. Keyword rules β€” this list, tried in priority order (lowest number first). A rule matches when its keyword appears anywhere in the description and, if it has an amount band, the transaction's absolute amount is at least the "β‰₯" and under the "<" value. A rule decides the category; the type follows the money β€” money in is Income, money out is Expense (and the category "Transfers" always means type Transfer).
  4. No match β€” the transaction lands as Uncategorized, typed by its direction, waiting for a rule.

Tags vs. rules, in one line: tags are few, personal, and absolute β€” they win over everything and set the type; rules are the workhorse list that files merchants into categories.

Changing things later: adding a rule immediately re-files matching transactions that are still Uncategorized (rows you categorized by hand are never touched). Editing a rule doesn't move transactions it already filed β€” Recheck uncategorized re-runs the filing on everything still Uncategorized, and Resync all with rules re-files everything against the current lists. New to this? Suggest rules from my transactions looks at your own activity and proposes rules for the descriptions that recur most.

Lower priority numbers match first. Each rule's ID# is permanent β€” use it to trace which rule matched a transaction on the Transactions tab. Amount β‰₯/< are optional β€” set them to split one keyword into different rules by transaction size (e.g. WAWA under $30 β†’ Convenience stores, $30 and up β†’ Gas). Adding or editing a rule automatically rechecks any transaction still marked Uncategorized; use "Resync all with rules" to also correct transactions an older rule already categorized.
Priority tags
Checked before everything else β€” the built-in Zelle, Cash App and ATM handling and every rule below β€” in the order shown; first match wins. The Type you choose is used exactly as picked; it does not follow the amount sign. Made for memo tags like GIFT-SUPPORT: any transaction whose description contains the tag gets the tag's category and type. Adding or editing a tag automatically rechecks every transaction whose description contains it (transactions you categorized by hand are never overwritten).

Find Duplicates

For occasional cleanup β€” looks for likely double-entries: same account, same signed amount, dated within 3 days, and a similar description (masked vs. unmasked account numbers, word order, and filler words like CHECKCARD/PURCHASE are ignored). Nothing is deleted until you click "Delete approved," and "Not a duplicate" is remembered so a pair never comes back.

Logo
Logo β€” dark schemes Optional variant shown when a user's color scheme is dark (e.g. Midnight). Without one, the regular logo is used everywhere. Uploads save right away, are shrunk to fit, and the active logo also becomes the browser-tab icon.
This header is the same for everyone, and only admins can change it β€” regular users have no way to edit it. Every field is optional: leave the name and subtitle blank for a logo-only header. The "Prepared for" line isn't part of these settings: it always shows each signed-in person's own display name. Changes reach other users on their next sign-in or page reload.
